To function correctly, Maya Bot may collect and store the following data: Automatically Collected Data • User IDs & Usernames To identify users for commands, permissions, and economy/leveling features (if applicable). • Guild (Server) IDs To store server-specific configurations (e.g., prefixes, music settings, welcome channels). • Channel IDs To know where to send messages or listen for commands. • Message Content Only processed when a command is invoked or for specific features like "ChatPlay" (to detect song requests). We generally do not store message history permanently unless required for moderation logs configured by server admins. Voluntarily Provided Data • Music Preferences Playlists or saved songs if such features are used. • Configuration Settings Custom settings you apply to the bot for your server.

We use the collected data for the following purposes: • Service Operation Handling commands, playing music, and managing server settings. • Debugging & Improvement Analyzing error logs to fix bugs and improve bot performance. • Customization Providing a tailored experience based on your server's configuration.

• Storage Data is stored securely in our database (MongoDB). • Retention We retain data only as long as necessary to provide the Service. If the bot leaves a server, its configuration data may be retained for a limited time in case of re-addition, or deleted periodically during database cleanups.

Overview To improve service safety, moderation accuracy, and to detect harmful or abusive patterns, Maya Bot temporarily stores an evidence log consisting of the last 20 messages per session for message intent analysis. Key Parameters • Messages stored per session: 20 • Maximum retention window: 12 hours • Deletion method: Automatic — no manual action required Data Lifecycle Step 1 — Message Captured The last 20 messages are temporarily stored in our secure database for intent analysis. Step 2 — Intent Processing Content is analyzed for moderation signals, abuse detection, and service quality improvement. Step 3 — Automatic Deletion (within 12 hours) All evidence log data is permanently and automatically purged from the database. No backups are made of this data. What This Means for You • Evidence log data is never shared with third parties for commercial or marketing purposes. • This data is not used for advertising or profiling. • Retention is strictly limited to 12 hours; data cannot be retained beyond this window by design. • This log is used only for safety, abuse prevention, and service integrity purposes. • No permanent record of your message content is created through this process.

We do not sell, trade, or rent your personal identification information to others. • Service Providers We may engage third-party services (e.g., Lavalink nodes for music, MongoDB Atlas for database hosting) to help operate the bot. These parties have access to data only to perform specific tasks on our behalf. • Legal Requirements We may disclose information if required by law or in response to valid requests by public authorities (e.g., Discord Trust & Safety).

We implement appropriate security measures to protect against unauthorized access, alteration, disclosure, or destruction of your data. However, no method of transmission over the internet is 100% secure.

You have the right to request access to or deletion of your data stored by Maya Bot. • To request data removal, please contact the bot owners (rizx or ramkrishna0). • Note: Deleting certain data may result in the loss of functionality or configuration for your server. • Evidence Log: Evidence log data is automatically deleted within 12 hours and cannot be manually retrieved. No action is required on your part.
